Executive Assistant cover letter example

An executive assistant’s cover letter has to convince the reader that you can protect a senior leader’s time, handle sensitive information and run complex logistics without supervision.

Opens with the matching executive assistant resume, in the same design, so the two read as a set.

The letter, as text

Dear Ms Ainsley,

A chief executive who spends a third of the year travelling needs an assistant who can run the diary, the board and the logistics without being asked twice. Having supported the CEO of Ashby Capital for more than six years, I would like to bring that experience to Thistlewood Asset Management as Executive Assistant to your new CEO.

At Ashby I manage the CEO’s diary across three time zones and protect more than six hours a week of focused time, which is harder to defend than it sounds. I also coordinate quarterly board meetings and papers for nine directors, and every pack has gone out on time for 20 meetings in a row. A weekly priorities review I run with the leadership team keeps more than 100 follow-up actions from slipping.

Travel is the other half of the role. I plan more than 40 international trips a year, and by consolidating bookings and negotiating hotel rates I save the firm roughly £38K annually. Earlier, at Hollingworth & Partners, I organised an annual client summit for 300 guests that came in 12% under budget. In both firms I have been the first point of contact for investors, directors and clients, and I treat confidentiality as non-negotiable.

I would be glad to meet you and, if helpful, your CEO, to understand how they prefer to work. My notice period is one month.

Kind regards,
Rebecca Lawson

Why this executive assistant cover letter works

  • It frames the job from the executive’s point of view, which is how the people hiring for this role think.
  • The board example uses a streak (20 consecutive meetings on time) that proves reliability better than any adjective.
  • A cost saving on travel shows commercial awareness, which sets the candidate apart from purely administrative applicants.
  • The close suggests meeting the executive, acknowledging that chemistry with the principal matters in this role.

Tips for your own executive assistant cover letter

  1. Name the level of the person you support and the scale of their schedule: time zones, trips a year, board size.
  2. Include a reliability record, such as deadlines met in a row or events delivered under budget, rather than calling yourself organised.
  3. Mention confidentiality once, tied to who you deal with (investors, board members), and move on.

Questions

How long should an executive assistant cover letter be?

Three or four short paragraphs, about 250 words, never more than one page. Hiring managers skim; every sentence should add proof the resume does not already give.

Do I need a cover letter for an executive assistant job?

Send one whenever the application allows it, unless the posting says not to. It is your chance to connect your experience to this employer’s needs, and many candidates skip it.

Can I use this cover letter for free?

Yes. Open it in the builder with the matching resume, replace the details with your own, and download both as PDF or Word, free, with no account and no watermark.
